Position Title: Office Administrator, Virginia Office

The National Commission for the Certification of Crane Operators (NCCCO) is an essential business providing essential services to the crane industry and has an opportunity to join a dynamic team! Since 1995, NCCCO has developed effective performance testing standards for those working in and around load handling equipment, including cranes. NCCCO is the national leader in providing crane operator certification and has been deemed as an essential service. We are committed to quality, integrity, and fairness in testing and have issued certifications in all 50 states. NCCCO has offices in Murray, Utah; Fairfax, Virginia; and Palm Harbor, Florida.  

NCCCO has an immediate opening for an Office Administrator in our Fairfax, Virginia, office. This position performs a wide range of activities to ensure the efficient operation of the Virginia office in cohesion with the other two NCCCO offices. As the Virginia Office Administrator, the duties and responsibilities entail administrative oversight of the office, supplies, and organization, office budget, office vendor relationships, accounting support, office and meeting room management with calendar equipment responsibilities, and office security (alarm system/building management). Serves as the trusted “go to” person for the Virginia office by management.

Primary Responsibilities:

The Office Administrator position manages day-to-day office functions. The position reports directly to the Virginia Location Lead/ HR Director. Traditional duties include but are not limited to:

  • Understand/support use of equipment in rooms
  • Work with HR functions in office (e.g., onboarding), and work as a Payroll-Paylocity Super User
  • Greet and direct regular vendors, maintain those relationships and files
  • Input vendor invoices through bill.com
  • Reconcile credit card and necessary supporting documentation
  • Make deposits of cash receipts and customer payment
  • Maintain relationships regarding access/alarm/surveillance
  • Monitor policies/practices regarding alarms, etc.
  • Support issuance/termination of access cards, keys
  • Order/stock office equipment and furniture, tag assets and maintain asset inventory, maintain related files, and label/track computer assets in the office
  • Provide basic support to IT Help Desk (Virginia needs), basic duties to support computer network
  • Supervise ordering of office supplies
  • Manage break/meeting room(s) policies, office events and parties
  • Other duties as assigned or as needed

Education and/or Experience:

Qualified applicants may possess any combination of education and experience enabling them to successfully perform the responsibilities of the position. Preferred qualifications are: high school diploma or equivalent and 2-4 years of relevant experience. Qualified candidates must have excellent organizational skills, excellent computer-based skills, e.g. experience with Microsoft Suite (Excel, PowerPoint, Word). In addition, the ability to multi-task with an attention to detail, work in a fast-paced environment while providing excellent customer service, and a great sense of professionalism. Former office management experience is a must.
